Jakarta is one of the most congested cities in the world with over 3.5 million people commuting daily by private transport (public transport utilisation in the Indonesian capital is 24% compared to the Government's goal of 60%).To reduce congestion, the Jabodebek LRT, one of the capital's light rapid transit (LRT) system, is being constructed to provide mass public transportation to the Greater Jakarta metropolitan area. The LRT's 83.6km rail system will connect Jakarta to Bogor, Depok, and Bekasi (hence the acronym 'Jabodebek'). Managed by Colas Rail (Indonesia), the first phase consists of 17 stations on three lines and is expected to operate in 2021.

Founded in 2008 through a merger of Seco Rail and Spie Rail, Colas Rail (a subsidiary of Colas Group) offers turnkey systems for railway infrastructures from design to construction and maintenance. With a presence in more than 20 countries and over 170 years of experience, Colas Rail is an international leader in their field.

Colas Rail is responsible for the design, procurement, building, testing, commissioning, and maintenance of the entire Jabodebek LRT project. Prior to digitisation, the Colas Rail team was generating massive amounts of data and paper work leading to a potential loss in quality, productivity, and increased delays. Recognising the issues, Colas Rail began working with Novade's consultants in 2017 to digitise and streamline the project's workflow using Novade's Quality and Safety-HSE modules.

As a result of the collaboration, Colas Rail has been meeting its targeted deadlines and has reduced the massive amounts of paperwork normally generated on projects of this type. In addition, teams have been able to easily access and analyse real-time data generated through Novade's cloud-based system.

Visibility through Digitisation

According to Project Director, Jean Jacques Largent, the construction industry is heavily reliant on teams in the field to collect, analyse and act on the data generated during each project. The teams'work generate a considerable amount of paperwork and use verbal communication and WhatsApp with no centralised method of record keeping, making it harder to track and attain full visibility. The Jabodebek LRT project has more than seven teams and 203 employees and sub contractor son-site daily. All tasks are digitised and entered in the system by each worker and then synchronised through the Novade platform. “With a cloud-based system, we have access to the data which is collected instantly on mobile devices, and allows the team involved and the stakeholders of a project to quickly act upon them,” said Jean Jacques Largent, Project Director, Colas Rail. Largent added, “What is good in technology is that it shouldn't be a burden to the team. It should assist the team to better perform their day-to-day work. This is how we can improve our productivity and get good results.”

Keeping Everyone on the Same Page

Quality managers conduct inspections, manage defect rectifications, and capture data with their mobile devices. Using standard descriptions, annotated pictures, and locating defects on a drawing, the team has lodged over 13,000 defect still date. Each defect lodged and report submitted has decreased the overall time spent by a worker leading to increased productivity.

Hasan Basri, Quality Inspector of Colas Rail's QC/QC department, said, “We do not have to manually send physical reports to our clients. We only need to submit it through the Novade system, and our clients will receive the reports. The impact is it helps us save time and paper when creating work reports.” The Novade app has increased collaboration between teams with supervisors having visibility on projects as soon as workers update their reports. Supervisors are able to easily track each defect status and identify outstanding issues which are then communicated with the worker or team in charge. “Novade is being used in Colas Rail at every level of supervision. Once we report it in Novade, all our supervisors can see what is being reported. Each report is online,” said Krisna Aditya, Site Engineer, Colas Rail.

Managing Safety Procedures Anywhere

Syahrul Mawardi, Colas Rail Health, Safety and Environment (HSE) department, now enjoys a streamlined work flow during his toolbox meetings. He uses Novade's Safety-HSE module for the site's safety forms, checklists, permits, observations (close calls) and non-conformance (NC) reports. To date, the Colas Rail team has conducted over 2,000 toolbox meetings, created more than 1,520 safety forms and permits, and managed 3,041 observations. Novade allows the teams to create, update and sign forms and reports on their mobile devices, keeping them connected despite being at different locations. “It is very useful, because the project requires us to be mobile and move to various locations. Using the Novade application certainly saves us time. And, we are not required to print the reports, so it is a paperless process,” said Mawardi,
